We have an exciting opportunity for an Administrative Assistant to be a part of our Network and Safety Southern team within Roads and Maritime Services. This position plays a key role in the provision of high- quality administrative, clerical, secretarial support services and customer support within the Network and Safety Section, Southern Region.
The Administrative Assistant reports directly to the Network and Safety Manager Southern and key accountabilities include (but are not limited to);
Providing prompt and efficient switchboard and reception services and respond promptly to customer enquiries and complaints to ensure efficient day to day administrative operations and provide quality customer service to the Sections’ clients.
Organise meetings, book meeting venues, prepare agendas and meeting documentation, record and distribute minutes and follow up on action items.
Assist in the preparation of contract and technical documentation by gathering data and preparing documentation to support and assist in the preparation of work orders, variations and invoicing of clients.
Prepare and manage general correspondence to support the efficient operation of the Section.
Utilise procurement systems to support administration of the section, manage accounts and payments, monitor and audit equipment and supplies and manage bookings to procure specialist equipment.
Maintain expertise in financial and contract management systems and provide systems administration and support to local users to ensure efficient and effective implementation and use of the systems.
We are looking for a savvy professional who has sound oral communication skills with an ability to deal tactfully and effectively with people at all levels together with the ability to work independently, set priorities and meet deadlines with accuracy, confidentiality, reliability and flexibility.
The key to this role is the ability to establish, maintain and provide administrative and clerical services in a high volume work area. It is an environment where the successful candidate will need the ability to handle administrative arrangements for meetings including preparation and distribution of agenda, briefing notes and taking of minutes and research information and effectively prepare written reports, memoranda and correspondence.
